Terms and Conditions

Effective from: 1st March 2025

1. Introduction

These Terms and Conditions outline the agreement between Minims Music Education (referred to as "we", "our", or "us") and the parent(s)/guardian(s) (referred to as "you" or "your") of children participating in our music education sessions. By enrolling your child in our programme, you agree to abide by these terms.  

2. Enrolment and Attendance

  • Enrolment is confirmed once the registration form has been completed and payment for the term has been received.  

  • Sessions run on a termly basis and places are allocated on a first-come, first-served basis.  

  • If a child misses a session, no refunds will be given. However, where possible, we may provide materials to catch up on missed content.  

3. Fees and Payment

  • The fee per session is payable termly in advance.  

  • Termly fees depend on the length of the term.  

  • Payment must be made in full before the first session of the term.  

  • We accept payments via:

    • Bank Transfer

    • PayPal

    • Cash

  • Late payments may result in the loss of the child’s place in the programme.  

4. Cancellations and Refunds

  • If you wish to cancel your child’s place, you must provide at least two weeks' notice before the term starts to receive a refund.  

  • Refunds will not be given for missed sessions or if a child withdraws mid-term.  

  • If Minims Music Education has to cancel a session due to unforeseen circumstances (e.g., staff illness, venue closure), we will attempt to reschedule or offer a credit towards future sessions.  

5. Behaviour and Code of Conduct

  • Children are expected to behave respectfully towards staff and fellow participants.  

  • Any disruptive or inappropriate behaviour may result in a child being asked to leave a session.  

  • Repeated breaches of conduct may result in exclusion from the programme without a refund.  

6. Safeguarding and Child Protection

  • All staff members hold an Enhanced DBS Check and follow strict safeguarding procedures.  

  • We have a Designated Safeguarding Lead (DSL) responsible for child protection matters.  

  • Parents/guardians must inform us of any medical conditions, allergies, or special educational needs.  

  • We will follow our safeguarding policy in the event of any concerns regarding a child’s welfare.  

7. Health and Safety

  • Parents/guardians must ensure that their child is fit and well to participate in sessions.  

  • In case of illness, injury, or medical emergency during a session, we will follow appropriate procedures and contact parents/guardians as necessary.  

  • We maintain appropriate insurance cover, including Public Liability Insurance.  

8. GDPR and Data Protection

  • We comply with UK GDPR regulations regarding the collection, storage, and use of personal data.  

  • Personal information provided during enrolment will be used only for administrative and communication purposes.  

  • We will not share your information with third parties without consent, except where legally required.  

  • Parents/guardians have the right to request access, correction, or deletion of their personal data.  

9. Media and Photography Consent

  • We may take photos/videos during sessions for promotional purposes (e.g., social media, website, marketing materials).  

  • Parents/guardians will be asked to provide consent for their child to be included in any media.  

  • Consent can be withdrawn at any time by informing us in writing.  

10. Complaints Procedure

  • If you have any concerns or complaints, please contact us in the first instance to resolve the matter informally.  

  • Formal complaints must be submitted in writing and will be handled in accordance with our complaints policy.  

11. Amendments to Terms and Conditions

  • We reserve the right to update these Terms and Conditions as necessary.  

  • Parents/guardians will be notified of any significant changes in advance.  

By enrolling your child in Minims Music Education, you confirm that you have read, understood, and agreed to these Terms and Conditions.
